A cancellation policy for a Ryder Cup rental should answer the difficult questions before they become urgent. The guest needs to know what happens if plans change, and the homeowner needs to know when the property can be released back to the market.

Start with the payment schedule
Cancellation terms are easier to understand when they are tied to clear payment stages. Record the booking payment, balance dates and any separate security deposit.
If the guest cancels
The policy should state how much, if anything, is refundable at different stages before arrival. A cancellation many months out is different commercially from a cancellation days before a high-demand event.
Avoid vague wording. The guest should be able to work out the financial consequence from the agreement itself.
If the homeowner cancels
State what happens to payments already received if the homeowner cannot provide the agreed accommodation. The policy should not focus only on protecting one side.
If the Ryder Cup schedule changes
Do not assume that a postponement, reduced attendance, transport disruption or another external change automatically cancels the accommodation contract. The agreement should say what event-related circumstances, if any, trigger a refund, credit or rebooking option.
What about serious travel disruption?
Guests may face flight cancellations, illness or other circumstances unrelated to the property. Decide whether the accommodation policy itself provides flexibility or whether the risk remains with the guest. Travel insurance may cover some risks, but coverage depends on the individual policy.
Can you rebook the dates?
One balanced approach is to state what happens if the homeowner successfully secures a replacement booking after a cancellation. If you want to use that approach, write it clearly rather than promising a discretionary refund later.
Keep the security deposit separate
A refundable damage/security deposit should not be confused with the accommodation cancellation charge. Its treatment should be explained independently.
Do not invent legal certainty
High-value event rentals can involve consumer, contract and tax issues that depend on the facts. If you want a strict non-refundable structure or unusual terms, have the wording reviewed appropriately.
Put the policy inside the agreement
The guest should see and accept the cancellation terms before sending the booking payment. A policy introduced after money is paid is far more likely to cause disagreement.
Clear beats aggressive
The strongest policy is not necessarily the harshest one. It is the one both sides can understand, apply consistently and rely on if plans change.
